Minutes of the Annual General Meeting

Broxted Village Hall, Wednesday, 30 April 2003

Present were:

Jenny Oliveira (Chair), Brenda Andersen, Carol Barnes, Tony Barnes, Sarah Cousins, Rachel Kesterton, Peter Smith

Notice convening the meeting

Jenny Oliveira welcomed everyone to the AGM.

Minutes of the previous AGM

These were agreed to be a true and fair record, apart from an error in the date of the next meeting.

Chairman's report

• Jenny reported that Carol and Tony Barnes had joined the committee in the past year and that they were very welcome. She also noted that Brenda Andersen had been to the last two meetings and said that we would be delighted if Brenda would also join the committee.

• She reported that over the past year we had undertaken our usual range of activities – running stalls at the Countess of Warwick's Country Show and Dunmow Late Night Shopping, organising a quiz night and a Children's Christmas party, and distributing pensioners' gift parcels at Christmas.

Treasurers' report

• Sarah reported a very healthy balance for this time of year of £552-21. This included two donations, one of £20 from Gladys Wilson who had been unable to attend the quiz night as she had planned because of an accident, and one of £35 from Carol Pratt, representing the proceeds from a Meccano set she had sold to a friend of Jenny's.

• Rachel agreed to write thank you letters to Gladys and Carol.

• The committee expressed its thanks to Sarah for her efficient work on the accounts over the past year.

Election of the committee and other members

Election of the Committee took place as follows:

Chairman – Jenny Oliveira.

Proposed by Rachel Kesterton. Seconded by Peter Smith.

Secretary – Rachel Kesterton.

Proposed by Jenny Oliveira. Seconded by Brenda Andersen.

Treasurer – Sarah Cousins.

Proposed by Peter Smith. Seconded by Rachel Kesterton.

Other members:

Jenny proposed that we elect other committee members en bloc. Sarah seconded this suggestion, which was passed. The other members are Brenda Andersen, Carol and Tony Barnes, Roger Clark, Doris Greenway and Peter Smith.

Any other business

• Jenny will not be here for the Countess of Warwick's show. She asked the committee for help with the Village Hall bookstall as only Hilda is available from the Village Hall committee to run the stall.

• Tony suggested that we approach the ‘Prince of Wales’ for a raffle prize for any forthcoming planned raffles.

• Brenda asked whether we were planning to celebrate the anniversary of the Queen's coronation. We will not be doing this as we celebrated the Jubilee and will have our hands full this summer with the Broxted Open Gardens and the Countess of Warwick's show.

• Jenny outlined plans for the Open Gardens Day on 29th June.
